Role Overview
The Senior Manager – Executive Assistant to the CEO plays a critical role in ensuring the CEO’s effectiveness, focus, and productivity in a complex, international, and fast-paced environment. The role has
end-to-end ownership of the CEO’s calendar, email inbox, and personal administrative matters
, acting as the primary gatekeeper and coordination hub between the CEO and internal and external stakeholders.
This position requires a high degree of judgment, confidentiality, and autonomy, and works in close coordination with the Director – Business Development & Corporate Strategy and the Executive Operations Manager.
Key Responsibilities
1. CEO Calendar, Inbox & Time Management
Full ownership of the CEO’s calendar, including prioritization, scheduling, and proactive time blocking aligned with strategic priorities
Primary responsibility for the CEO’s email inbox, including screening, prioritization, delegation, and drafting of routine responses where appropriate
Act as the central gatekeeper for access to the CEO, balancing internal leadership needs and external stakeholder requests
2. Meeting & Executive Coordination
Coordinate logistics and preparation for all CEO meetings, including leadership, board, and external meetings
Ensure meeting readiness in collaboration with the Director – Business Development & Corporate Strategy (agenda, materials, participants)
Act as day-of execution support for critical meetings and engagements
Take minutes for routine meetings and track action items.
Circulate minutes and follow-up points to relevant stakeholders.
Maintain a structured archive of meeting notes and follow-up trackers.
Arrange CEO Signatures
3. Personal & Confidential Matters of the CEO
Manage and coordinate sensitive personal administrative matters for the CEO, including:
Personal tax documentation and liaison with tax advisors
Personal insurance, legal, and compliance documentation
Maintain strict confidentiality and structured documentation for all personal and sensitive matters
4. Travel & Stakeholder Interface
Act as the CEO’s primary coordination point during travel in close alignment with the Executive Operations Manager
Interface professionally with board members, senior executives, customers, advisors, and external partners
Ensure seamless execution of schedules during international travel and high-intensity periods
Candidate Qualifications & Experience
Required:
Bachelor’s Degree in any discipline
+5 years of experience supporting C-level executives in complex, international organizations
Proven experience managing executive calendars, inboxes, and confidential personal matters
Exceptional organizational, prioritization, and stakeholder management skills
Fluent German and English (written and spoken) – mandatory
Structured, disciplined and dependable
Professional, discreet and trustworthy
Calm under pressure and adaptable to last-minute changes
Service-oriented with a strong sense of ownership
Preferred:
Prior experience in multinational or group structures
Experience working closely with boards and senior leadership teams
