AIM

Carrying out various operational and administrative tasks and acting as a point of contact in case of

operational complaints and/or problems in order to contribute to the smooth functioning of the processes

and a high-quality and efficient service provision of the department.

RESULT AREAS

PERFORMING VARIOUS OPERATIONAL AND ADMINISTRATIVE TASKS

Carrying out various operational and administrative tasks based on clear guidelines and taking deadlines

into account in order to ensure the activities of the department.

TASKS:

? Carrying out various routine administrative tasks such as order entry, taking care of and

thoroughly checking invoices, input and adjusting all kinds of data, placing orders, preparing

payments, drawing up work sheets, ...

? Carrying out various routine operational tasks such as archiving, filing, ...

? Carrying out various logistics tasks such as scheduling appointments, receiving keys, ..

TAKING CARE OF WELL-DEFINED DOSSIERS

Taking care of a variety of actions and tasks related to well-defined files in order to provide employees and

customers with correct information and data.

TASKS:

? Carrying out well-defined tasks and initial analyses and drawing up the necessary

documents in the context of dossiers within one’s own department.

? Compiling, tracking and completing files in the applications provided for this purpose.

? Reactively following up and dealing with problems and/or complaints from internal and

external customers.

? Passing on problems and complaints to the right authorities, departments or colleagues.

? Determining priorities according to deadlines.

COMPLYING WITH ORDER AND SAFETY REGULATIONS

Complying with order and safety regulations in order to ensure a safe and orderly workplace for colleagues.

TASKS:

Applying the safety rules. Critically reflecting on and adjusting one’s own working method. Ensuring an orderly workplace. Reporting unsafe situations, incidents and accidents.

QUALITY OF WORK

Ensuring the quality of documents in order to deliver accurate documents that are in line with the

organisation's corporate identity.

TASKS:

? Applying a consistent layout to letters, notes, presentations, etc., in accordance with the

corporate identity.

? Reviewing documents.

? Striving for quality, also in terms of details, in documents.

? Aiming to work accurately.

SELF-DEVELOPMENT

Updating and maintaining professional knowledge and technical skills in order to maximise one's own

professional knowledge and to apply it optimally within the organisation.

TASKS:

Attending internally given training courses and information sessions. Following external training courses. Exchanging experience and knowledge with colleagues.

ACTING AS A POINT OF CONTACT FOR INTERNAL AND EXTERNAL CONTACTS

Acting as a point of contact for internal and external contacts in order to ensure a smooth exchange of

information.

TASKS:

Being in direct contact with customers regarding files. Answering questions from customers and other internal or external contacts/partners.

? In the event of prolonged problems, always keeping the counterparty informed of the status

of the issue.
