The Team
Our German office is rapidly growing, and we are looking for an enthusiastic, proactive, and collaborative Junior Executive Assistant (m/f/d) to join our team in Düsseldorf. You will be part of a dynamic environment that values diversity and provides equal opportunities for growth and advancement. The team focuses on supporting senior professionals and ensuring smooth operations within the business unit.
About the Role
We’re looking for an organised and intuitive Junior Executive Assistant (m/f/d) to collaborate with members of our Executive Assistance team, contributing to the efficiency and support for Managing Directors within our fast-paced and dynamic business unit. The ideal candidate will possess a can-do attitude, a strong team spirit and a proactive approach to their workload.
Key Responsibilities
Scheduling & Coordination: Manage calendars, organize meetings, and ensure efficient communication across teams
Financial Administration: Submitting and managing timesheets and expenses
Travel & Logistics: Coordinate travel arrangements, including flights, accommodations, and transportation
Onboarding Support: Work closely with HR to assist with the onboarding of new team members, and act as their first point of contact
CRM & Marketing: Support marketing initiatives by tracking activities using Salesforce
Office Management & Administration: Setting up and monitoring meeting rooms as well as monitoring office supplies
Reception and hospitality for guests: Greeting guests and offering refreshments; organising catering where required
Essential Skills & Experience
Relevant experience in an administrative or executive assistant role
Strong interpersonal skills, with the ability to handle sensitive and confidential information with discretion
Excellent communication skills (both written and verbal), fluency in German and English
Organizational talent, with the ability to manage multiple priorities, tight deadlines, and shifting tasks with ease
Proactive, solution-oriented mindset with a desire to make a meaningful impact
Comfort working both independently and as part of a collaborative team
Proficiency in MS Office and familiarity with Salesforce is a plus
