What role will you play?
We are seeking a highly organised and proactive Executive Assistant to join our team. The ideal candidate will have extensive experience in calendar management, including booking meetings, resolving scheduling conflicts, and arranging rooms and catering. You will be responsible for coordinating complex travel arrangements, such as flights, hotels, transportation, and visas, ensuring all details are confirmed and managed efficiently. Additionally, you will handle processing purchase orders and invoices through Coupa, as well as managing monthly expense claims via Concur to meet strict deadlines. The role also involves producing and coordinating meeting documents, including printing, binding, and scanning, along with providing general administrative support. This role is based in our Frankfurt office, 5 days a week.
What you offer
Good working knowledge of MS Word, MS Excel, MS PowerPoint and strong MS Outlook experience
Excellent attention to detail and organisational skills
Ability to balance conflicting priorities and make decisions accordingly
Proactive and enthusiastic attitude, with the ability to anticipate needs of team members and act as necessary
