Job Summary:
We are seeking a proactive Receptionist to serve as the first point of contact for our consulting firm. This role is essential in creating a professional and welcoming environment for clients, partners, and staff. The ideal candidate will be highly organized, client-focused, and capable of managing front-desk operations with discretion and efficiency as well as supporting the Business Support Team.
Key Responsibilities:Greet clients, visitors, and staff with professionalism and warmth
Manage incoming calls, emails, and correspondence
Maintain a clean, organized, and professional reception area
Coordinate meeting room bookings and prepare rooms for client meetings
Handle incoming and outgoing mail, packages, and courier services
Support consultants and administrative staff with scheduling and clerical tasks
Maintain confidentiality and handle sensitive information with discretion
Assist with travel arrangements as needed
Liaise with building management and vendors for office maintenance and supplies
Support onboarding of new employees and office-related logistics
Contribute to internal communications and event planning
Assist with internal process coordination and documentation
General administrative tasks to support the business support team
Requirements:Previous experience in a receptionist or front office role, preferably in a professional services or consulting environment
Strong verbal and written communication skills in German and English
Proficiency in Microsoft Office Suite (Word, Excel, Outlook, PowerPoint)
Professional appearance and demeanor
Ability to multitask and prioritize in a fast-paced, client-facing environment
High level of discretion and confidentiality
Commercial apprenticeship or work experience required
Interest in learning new tasks
Preferred Qualifications:Experience with CRM or scheduling software (e.g., Salesforce, Outlook)
Familiarity with consulting industry norms and client service expectations
Multilingual skills are a plus
