The Embassy of Ireland, Berlin, is seeking to recruit a resourceful, proactive and flexible individual to fill the position of Consular and Administrative Officer in the Embassy. The Consular and Administrative Officer will work primarily across two teams, contributing to the good functioning of the Embassy’s Accounts team and Consular team. The Consular and Administrative Officer will work alongside one other Officer in the Accounts team and alongside five other Officers in the Consular team.
Role and Responsibilities
The precise range of duties will vary over time according to the needs of the Embassy, but will include the following:
? Visa processing & providing advice to visa applicants;
? Responding to public queries received by the Embassy over telephone and email;
? Providing excellent customer service at the Embassy’s public office;
? Taking receipt of and processing visa applications for travel to Ireland, including giving advice on the process to the applicant and liaising with HQ and the Department of Justice on any issues;
? Providing consular assistance to Irish citizens and their families;
? Providing support to the Consul and undertaking other administrative and consular tasks as required;
? Perform occasional translation and interpretation work;
? Assist in the preparation and reconciliation of the monthly Embassy accounts and budgeting, with the accounts administrator and diplomatic staff.
? Provide additional support to the accounts administrator in the preparation and payment of staff salaries, pensions and social insurance contributions, in consultation with the Embassy's payroll company and the Health Insurance Providers;
? Assist in managing and assessing the Chancery’s Nebenkosten;
? Other duties as required from time to time and directed by the Ambassador, Consul or Deputy Head of Mission, as necessary.
Essential Requirements candidates must be able to demonstrate:
? Candidates must have a degree or diploma, preferably in disciplines such as: Business, Finance, Accounting, Administration or other relevant fields;
? Work based examples of:
o Using excellent teamwork and communication skills;
o Demonstrating your aptitude for the management and delivery of results;
o Analysis and decision making;
o Specialist knowledge, expertise and self-development; and
o Drive and commitment.
? Fully bilingual in English and German; (a language test may be included as part of the shortlisting process);
? Working knowledge, using examples, of Microsoft Office Suite (Outlook, Word, Excel); and
? The permanent legal right to reside and work in Germany.
Desirable Skills and Experience:
? Previous professional experience of book-keeping and accounts would be very beneficial;
? A good understanding of the role of the Department of Foreign Affairs and Trade and the Embassy; and
? Previous experience in a diplomatic mission.
Terms and conditions of employment:
? The successful candidates will be hired on a fixed-term contractual basis and will be based at the Embassy of Ireland to Germany in Berlin;
? The successful candidate will work on a full-time basis, 35 hours per week, Monday to Friday;
? The annual leave entitlement is 26 days per annum;
? The annual salary for the position is €42,172.75 per annum, paid locally on a monthly basis; Annual increments are accrued on satisfactory performance in line with the Department’s Performance Management and Development System up to a maximum of €53,981.12. Salaries are paid direct to a bank account, therefore, the successful candidate must have a bank account;
? There will be a probationary period of 6 months; and
? The position will also involve undertaking occasional out of hours consular duty cover (up to four times a year).

Selection Process:
? Depending on the number of applications received, a short-listing of candidates to be called for a competency-based interview may be undertaken based on the Essential Requirements outlined above;

? A second interview may be included in the recruitment process; and
? A panel may be set up depending on the calibre of candidates.
