About the Role

NinjaOne is looking for a proactive and detail-oriented Associate Event Coordinator to support the planning and execution of our trade shows and conferences across EMEA. You will report into the Trade Shows & Conferences Team, EMEA and collaborate with marketing, sales, and external vendors to ensure smooth and impactful event experiences.
This role is a fantastic opportunity for someone early in their career looking to gain hands-on experience managing event logistics, vendor relationships, and cross-functional collaboration in a fast-paced, international tech company.

What You’ll Be Doing

Assist in coordinating trade shows and conferences across Europe, including the UK, Germany, France, Benelux, Nordics, Italy, and Spain Support booth design, signage, event graphics, vendor coordination, guest speakers, and event setup logistics Manage relationships with trade show organizers, suppliers, and travel partners Handle administrative tasks such as contract tracking, invoice processing, and maintaining event documentation Organize employee and customer travel for events in collaboration with travel agencies and internal stakeholders Manage and track trade show swag, inventory, and shipments Evaluate event opportunities such as sponsorships and local marketing initiatives Collaborate with internal teams to align event execution with campaign messaging and business goals Ensure smooth communication across stakeholders and contribute to a positive attendee experience Assist with post-event reporting and analysis

About You

1–2+ years of experience supporting or coordinating trade shows, conferences, or B2B marketing events Self-motivated and highly organized with a strong attention to detail Excellent verbal and written communication skills in English; additional European languages are a plus Analytical mindset and comfortable working toward measurable event goals Able to manage multiple tasks, timelines, and priorities simultaneously Proficient in Microsoft Office Suite (Word, Excel, SharePoint, PowerPoint, Teams); CRM or event software experience is a plus Willingness to travel up to 15–40% across EMEA (especially during spring and autumn event seasons) Valid driver’s license and good driving record Experience in B2B SaaS, IT, or MSP space is a plus
