Assistant Political & Administrative Officer (Full-Time)

The Embassy of Ireland, Berlin is seeking a highly motivated, enthusiastic and hardworking person with excellent communication and interpersonal skills to fill a full-time Assistant Political & Administrative Officer position.
Roles and Responsibilities:
The precise range of duties will vary over time according to the needs of the Embassy, but will include the following:
? Keep up-to-date on relevant developments in Germany and internationally, regularly monitoring and reporting on events;
? Carry out in-depth research and analysis on developments in Germany and internationally;
? Draft regular reports informing Irish foreign policy and other policy positions locally and at Headquarters, including daily press summaries;
? Identify and make relevant contacts, and ensure the contact database is updated and maintained;
? Represent the Embassy in engagements with the Foreign Ministry, other Government officials, and other Embassy representatives;
? Schedule meetings, including meetings with senior officials, and make travel arrangements;
? Support the planning and delivery of events and visits by officials and other visitors from Ireland to Germany;
? Attend meetings, conferences and seminars representing the Embassy;
? Represent the Embassy at events, including occasionally delivering presentations as required;
? Assist in the management of HR at the Embassy, including processes related to recruitment, interviews, onboarding, offboarding and legal matters;
? The successful candidate will work alongside other local employees of the Embassy, and will report directly to the diplomatic staff in the Mission;
? Provide translation, proofreading and informal interpretation; and
? In addition to the above, the Officer may be required to carry out other functions subject to the business needs of the Embassy, including periodic out of hours and weekend cover for the Embassy’s consular duty service.
Essential Requirements candidates must be able to demonstrate:
? A degree, preferably in disciplines such as: Politics, Economics, Business, Media / Communications, International Relations or Law;
? Excellent interpersonal skills, demonstrated using work-based examples, including the ability to persuade, work in a team, and deal effectively with people in external organisations;
? Proven ability to build relationships and maintain a network of contacts across different sectors;
? Flexibility, efficiency, and effectiveness, demonstrated using work-based examples of strong organisational skills, attention to detail, and the ability to work under pressure, managing multiple tasks;
? Solutions-oriented and committed to delivering results, including adapting approach when necessary;
? The candidate must be fully bilingual in English and German;
? Strong working knowledge of Microsoft Office Suite (Outlook, Word, Excel); and
? All applicants must have a permanent legal right to reside and work in Germany.
Desirable Skills and Experience:
? A good understanding of the role of the Department of Foreign Affairs and Trade and the Embassy;
? Previous experience in a diplomatic mission is desirable, but not essential.
Terms and conditions of employment:
? The successful candidate will be hired on an initial one-year fixed-term contract, with the possibility of an extension, and will be based at the premises of the Embassy of Ireland, Berlin. A probationary period of 6 months will apply;
? Monday to Friday, 35 hours per week, with standard office hours from 9am to 5pm;
? Annual Leave entitlement of 26 days per annum;
? The salary for the position is €48,138.46 per annum, paid locally on a monthly basis, with annual increments rising to a maximum of €61,617.24 at the top of the salary scale linked to satisfactory performance; and
? Salaries are paid direct to a bank account, therefore, the successful candidate must have a bank account;

Selection Process:
? Depending on the number of applications received, a short-listing of candidates to be called for a competency-based interview may be undertaken based on the Essential Requirements above;
? It is planned that interviews will be held before the end of January 2025;
? A skills and/or language test may be included in the recruitment process;
? A second interview may be included in the recruitment process; and
? A panel may be set up depending on the calibre of candidates.
