The Administrative Assistant is responsible for all organisational and administrative tasks at the LISK. Her/his responsibilities include scheduling appointments, handling incoming and outgoing correspondence, mail distribution, maintaining files and records and performing data entry. The position holder is the first contact person for all parents, educators and local authorities and takes care of all matters that come together at the front desk. S/he ensures that the kindergarten day runs in an orderly and organised manner and always has an open ear for families and staff.
Your tasks and responsibilities
Handling the office management and day-to-day operations such as incoming and outgoing phone calls and mail correspondence
Assisting staff members, parents, and guests; addressing all their inquiries
Assist in the organisation of kindergarten events and make all relevant bookings
Provide office support for the organisation of field trips
Involvement in the coordination of all organisational and developmental measures of the section.
Liaising with the school nurse regarding health issues
Maintaining Engage Parent Portal
Ordering, maintenance and storage of office supplies
Taking daily attendance of staff and learners, and setting up statistical analysis
Working in collaboration with Student Co-Curricular Activities Coordinator for planning of Afternoon Activities, allocating children to activities, providing onboarding for new coaches, maintaining attendance lists and informing families of changes to program
Liaising with caterer for meal orders, budgeting, and contracts, and acting as contact person when problems arise. Liaising with kitchen staff.
Maintaining, distributing and coordinating security chips with parents (new and leavers).

Your profile
Qualification as an Administrative Assistant, Office Management, bilingual secretary or a related qualification
Excellent customer service skills
Friendly and positive, with excellent interpersonal and intercultural skills
Solution-orientation and excellent communication skills
Able to quickly analyse situations and systems, always looking to maximise efficiency and effectiveness in a rapidly changing work environment
Excellent time-management skills, able to set and communicate about priorities
A high level of proficiency with MS Office, especially Excel
Computer/Internet literate
Fluency in written and spoken English as well as German; additional languages are advantageous
Skilled at general organizing and administrative processes
Highly flexible during the work day, and able to work in a dynamic environment
Able to remain calm and discreet in a busy environment
Experience of working in an internationally-minded and diverse school community is preferred
