SUMMARY OF DUTIES Performs various administrative or secretarial tasks as an assistant to the Regional Vice President DECH and the DECH Management team.

ESSENTIAL FUNCTIONS PERFORMED

Responds and screens to routine telephone requests and incoming correspondence which generally have standard answers and refers calls to appropriate staff.

Makes appointments and arrange meeting rooms as needed.

Perform Routine clerical duties photocopying materials filing and typing. Requisitions supplies, printing, maintenance, or other services. Types, takes and transcribes dictation, and establishes and maintains office files.

Performs other related duties and tasks as required.

Response to requests concerning office procedures and determines which requests should be handled by the Regional Vice President of DECH or other departments within DECH or Maastricht HQ and Galway.

Core point of contact for the DECH Management Team to Maastricht (HR, Travel, Cars, IT) and Galway (Finance).

Support with internal and external meetings, makes arrangements for meetings and conferences organized within and requested by the DECH Team.

Key Point of Contact for Compliance in DECH (attending regular Trainings)

Key Point of Contact for Local Service Partners (e.g. Tax Consultant) in close collaboration with Finance.

Key Point of Contact for Car Leasing in close collaboration with Maastricht

Support significantly the Onboarding of New Hires In charge for daily Post and redirect them to the appropriate departments.

Support the RVP in all admin belongings \xe2\x80\x93 also presentations and communications.

Maintain Email Distributions Lists and Org Charts.

Process incoming Invoices (Book and send to the correct person for Approval) on a daily base in consultation of the RVP-RSM so Finance can process invoices in a timely matter.

Process and prepare invoices in the ErP/PO system for processing and approvals in consultation of the RVP-RSM.

Answer any questions from the Finance and GL accounting Team in Galway in case of invoice content and reminders.

Support/Coordination of C-Shows together with HQ.

Support/Coordination of Meetings together with HQ.

Support/Coordination of T&E together with HQ.

SUMMARY OF MINIMUM QUALIFICATIONS

Minimum of two years administrative experience.

Demonstrated computer skills preferably spreadsheets, Outlook, word processing, database and other applicable software programs.

Excellent organizational skills and the ability to coordinate and maintain filing and office systems.

Strong interpersonal skills and the ability to communicate well, verbally and in writing, with others.

Demonstrated human relations and effective communication skills.

Language requirements:

Fluent German in oral, written and communication skills

Good commend on spoken and written English.
