We are looking for a proactive and service-oriented

Receptionist / Office Coordinator (m/f/d)

to support our team in Berlin. In this role, you will be the first point of contact for visitors and employees and play a key role in ensuring smooth day-to-day office operations.

Your Responsibilities



Visitor Management:


Greet and assist visitors, ensure a welcoming experience, and manage visitor check-ins

Pantry & Office Supplies:


Monitor, organise, and replenish pantry and office supplies, ensuring availability at all times

Cleanliness & Office Environment:


Oversee office cleanliness, coordinate with cleaning services, and address any cleanliness issues

Access Management:


Manage building and office floor access, including issuing, tracking, and maintaining access cards

Post & Delivery Management:


Handle incoming and outgoing mail, packages, and deliveries, including sorting and distribution

Vendor Management:


Liaise with building management and external vendors (plants, pantry supplies, cleaning services, maintenance)

Communication with the Berlin Team:


Act as a point of contact for the Berlin team, respond to tickets, address requests, and provide updates

Health & Safety:


Support health and safety compliance, including fire drills and first aid stations

Event Support:


Assist with internal events, including logistics and setup when required

Weekly Lunches:


Coordinate and place weekly lunch orders from external vendors for the office lounge

Your Profile



Fluent in

German and English

Strong organisational and communication skills Service-minded, reliable, and proactive approach Friendly and professional demeanor Previous experience in reception, office coordination, or a similar role is an advantage
