Summary:
The U.S. Mission in Germany is seeking eligible and qualified applicants for the Office Management Assistant in the Management office.

Duties


----------


The Office Management Assistant (OMA) serves as the principal administrative support person for the Management Section and the Consulate General Management Officer and reports to them directly and/or their designee. The OMA operates independently to ensure that administrative functions are performed effectively, efficiently, and in a manner that promotes harmony and problem-solving across the section and consulate, ensuring other staff members may be more effective. The OMA maintains electronic signage on the TVs, ensures standardized formats on all publications, edit notices, memos, and other documents, and coordinates with the admin support of the Embassy and other Consulates in Germany. The Office Management Assistant is the primary contact person responsible for the section’s customer service to internal and external clients.

Requirements:
All selected candidates must be able to obtain and hold a:



Secret security clearance.


All selected candidates will be subject to a background investigation.

Selected candidate must be able to begin working within a reasonable period of time upon receipt of agency authorization and/or clearances/certifications or their candidacy may end.



Education Requirements:
Two years of university studies.

A minimum of three years of office administration and management, or other administrative/customer service work required.

Experience in managing/allocating/designing space usage; possess strong writing skills; experience in working with community, businesses, and other entities on projects; experience in coordinating special events and hosting VIP guests.

Strong organizational and interpersonal skills; ability to work independently; strong multitasking skills; ability to research, analyze data, and write concise reports; ability to work well under high pressure and tight deadlines; knowledge of Microsoft Office Suite, including scheduling meetings using Outlook, create spreadsheets using Excel, and creating documents using Word; ability to use independent judgement to manage office and complete

tasks.

IMPORTANT: US citizen Eligible Family Member (USEFM) applicants who claim status as a preference-eligible U.S. Veteran must submit a copy of their most recent DD-214 (“Certificate of Release or Discharge from Active Duty”) preferably Member Copy 4, Letter from Veterans’ Affairs which indicates the present existence of a service-connected disability, equivalent documentation, or certification. A “certification” is any written document from the armed forces that certifies the service member is expected to be discharged or released from active duty service in the armed forces under honorable conditions within 120 days after the certification is submitted by the applicant. The certification letter should be on letterhead of the appropriate military branch of the service and contain (1) the military service dates including the expected discharge or release date; and (2) the character of service. Acceptable documentation must be submitted in order for the preference to be given.


This level of preference applies to all FS employees on LWOP and CS with re-employment rights back to their agency or bureau.
