POSITION SUMMARY
As our Management Assistant, you will play a key role in ensuring the smooth day-to-day operations of our leadership and teams. You will work closely with teams by providing reliable organizational and administrative support while demonstrating ownership, professionalism, and attention to detail. Beyond management support, you may contribute to team coordination and other operational processes for our EMESA team. This position is temporary (12 months).
BASIC JOB RESPONSIBILITIES
Forward-looking management of calendars for the assigned Managing Directors or Directors with an overall understanding of business priorities.
Planning and scheduling in-person and virtual meetings considering different time zones; proactively following up on requests and rescheduling in case of calendar conflicts
Arranging business trips; anticipating and coordinating point-to-point travel and logistical needs, including but not limited to directions, commuting time and ground transportation, passport, visa documents, and expense management
Communicating with clients, other external guests with a high level of professionalism and in a friendly manner while representing the Managing Director, the broader leadership team and BrightHouse
Maintaining client confidence and protecting operations by keeping information confidential
Support the directors and their teams with planning team activities such as events and project sessions while applying existing and evolving company policies
Support the project teams with project-related tasks such as printing, organizing workshop material
Leverage GenAI and other AI-enabled tools to support administrative processes, improve efficiency, and enhance the quality and speed of team support
As part of the Business Services Team, responding to a variety of overarching inquiries
Other activities include but are not limited to basic document formatting (MS Word, Excel, PowerPoint), filing, day-to-day administrative tasks and operations
DESIRED QUALIFICATIONS
University degree or equivalent apprenticeship
Relevant experience as an experienced Assistant or comparable position, gained in a professional-services or multi-national company
Fluent / Business Englisch language skills (written and spoken), German is a plus
Proficiency in MS Office (Word, Excel, PowerPoint, and Outlook)
Valid work permit in Berlin
