The Role
Our Inventory Control Coordinator is a key member of the back-of-house operations, coordinating inventory systems, and maintaining an effective stock flow of goods to all F&B outlets, including the Museum retail areas and Events Ballroom. Reporting directly into the BHG Hospitality | Cost Control & Purchasing Manager, the role overseas the daily receipt of food, beverage and retail items required to be organized, delivered to the respective department's, and / or stored appropriately, whilst maintaining all area's in accordance with HACCP regulations.
We source a wide range of products from a variety of vendors, Inventory Control Coordination is a key role in ensuring the seamless coordination of BOH operations, including a thorough understanding of Inventory Management systems that will improve efficiencies in inventory receiving and merchandise flow. Our Inventory Control Coordinator should expect to manage through ambiguity and will need to be ready to support all Fotografiska departments in meeting the needs of the F&B operations.
Requirements
Responsibilities & Requirements
4+ years Luxury Hospitality / Administrative experience, with highly organized attention to detail, and a thorough understanding of operations, inventory coordination and logistics.
Inventory Handling:
Monitors incoming product deliveries and efficiently receives, unpacks, processes and tickets merchandise and maintains stockroom, onsite and offsite storage unit organization.
Optimizes flow of inventory from onsite stockroom and offsite storage unit's to respective F&B outlets and regularly communicates with management regarding understock.
Works closely with the Director of F&B and Executive Chef on inventory management and controls, identifies inventory discrepancies, coordinates intermittent stock checks and administers weekly / monthly and annual physical inventory counts.
Communicates and brokers acceptable solutions for any damages, incomplete shipments, or quality issues with vendors in conversation with the Director and F&B, Executive Chef.
Meticulous attention to detail, maintaining the organization and cleanliness of Level 1 stockrooms, stock levels, and flow of inventory from stockroom to the F&B oultets.
Daily packaging and fulfillment of orders for local shipping and pickup.
Perform data entry and basic product photography to ensure that item information is regularly updated on the inventory management system.
Handles inventory adjustments due damaged or lost inventory, or product reconfiguration or promotion.
Drafts inventory and royalty reports, assists Leadership teams in reconciling reports and variances.
A strong work ethic, motivation to work as a team, and to work quickly, accurately, and efficiently.
Responsibility and trustworthiness, with experience handling highly valuable inventory.
Attend regular operational meetings to ensure effective coordination and cooperation between Museum + F&B departments.
Flourish while working against deadlines while having the ability to be self-motivated, pro-active and to find creative solutions to challenging problems.
Have a positive impact, taking responsibility and initiative to resolve issues, always clearly communicating with our outlet F&B leadership.
System Administration:
Confidence working in a rapidly growing company, ability to adapt and pivot and work with a variety of moving parts, as systems evolve.
Thorough working knowledge of inventory managements systems and point of sale including Gastronovi a plus.
Maintains, edits and updates information within inventory management systems, with an eye to maintaining optimum accuracy and profitability.
Supports all aspects of retail system administration, as we transition our inventory software and launch a global eCom strategy.
