The ideal candidate for the Executive Assistant (f/m/d) role will be a diligent and structured planner who can respond effectively and efficiently while maintaining flexibility and composure. This position is essential for ensuring the flawless functioning of the Senior Vice President’s (SVP) Executive office and requires an individual who thrives in a fast-paced and ambiguous environment, adopts multi-tasking, and possesses exceptional organizational skills for running calendar and travel coordination. You will be responsible for overseeing supervising the Senior VP’s agenda, which includes a high volume of appointments aligned with his priorities, as well as extensive international and domestic travel arrangements. Your performance will be closely linked to the success of the Executive, fostering a collaborative atmosphere that promotes teamwork and job satisfaction.

How You’ll Make an Impact

Handle an extensive and dynamic calendar, organize daily schedules, and provide comprehensive administrative support Coordinate complex logistics for (international) travel, ensuring seamless arrangements from transportation and accommodations to detailed agendas Purchase and report expenses in full accordance with travel guidelines Independently and reliably completing versatile organizational and administrative tasks within the Executive office Plan and organize impactful workshops and events aligned with organizational goals to promote team cohesion and partner engagement

What You Bring

Extensive experience in Executive Assistance at the management level, preferably in consulting or energy within a Fortune Global 500 company Proven track record of reducing administrative overheads by optimizing office efficiency through simplification and using time-saving workflows and collaboration tools Strong service orientation to help others meet their obligations efficiently. Proficient in M365 (Outlook, Co-Pilot, Teams, PowerPoint) Excellent communication and interpersonal skills for effective collaboration with colleagues and customers, comfortable in remote work Fluent in written and spoken English; intercultural experience preferred for global orientation
