We are seeking a highly organized and proactive

Administrative Executive

to support the day?to?day operations of our Administration function. This individual will play a key role in ensuring smooth office operations across a dynamic, fast?paced, and multinational environment. The ideal candidate is resourceful, detail?oriented, and able to anticipate operational needs while delivering timely and high?quality administrative support.

What will you be doing?

Office Administration & Operations



Oversee general office management, including maintenance, office supplies, vendor coordination, and facility-related matters. Serve as the primary contact for building management, external vendors, and service providers. Support the implementation of company-wide administrative policies and ensure adherence to established standards.

Executive & Departmental Support



Provide administrative support to management and cross-functional teams, including scheduling, document preparation, meeting coordination, and travel arrangements. Assist with departmental reporting, presentation preparation, and internal communications.

Employee Support & Engagement



Coordinate employee onboarding logistics (access cards, seating plans, office orientation). Support company events, meetings, training sessions, and employee engagement activities.

Documentation & Compliance



Maintain organized filing systems for contracts, agreements, and administrative records. Assist in monitoring compliance for health, safety, and environmental (HSE) requirements in alignment with corporate standards.

Financial & Procurement Support



Prepare and process purchase requests, invoices, and vendor payments. Track budget expenditures and support cost optimization activities.

Who are You?

Education



Diploma or Bachelor’s degree in Business Administration, Office Management, or a related field.
###

Experience



3–5 years of administrative or office management experience, preferably in a multinational or industrial/chemical company environment. Experience coordinating with multiple levels of stakeholders—local, regional, and global—is an advantage. Exposure to procurement processes and vendor management is highly desirable.

Qualifications & Skills



Strong proficiency in MS Office (Outlook, Excel, PowerPoint, Word). Familiarity with ERP systems (e.g., SAP, Oracle) is a plus. Excellent written and verbal communication skills. Strong organizational and multitasking abilities. High level of discretion when handling confidential information.
